Privacy Notice

Privacy Notice for members of Bicester Local History Society (BLHS) in accordance with the General Data Protection Regulation (GDPR) May 2018.

When you become a member of BLHS, we collect your personal data, store it and use it under the ‘legitimate interests’ section of the GDPR’s ‘lawful basis for processing’ (ico.org.uk guide to GDPR).

We collect, store and use your data as follows:

Your name, postal address, e-mail address and phone number. Via membership forms which members complete themselves and send to the BLHS Treasurer or Membership Officer (by email, post or in person). a) Digitally in the BLHS membership database which is held on the personal laptops of the BLHS Treasurer, Chairman and Membership Officer. Access to these laptops is password protected and the database is not accessible in any other way.
b) Data received on paper is also stored in a manual filing system held in the home of the BLHS Treasurer.
c) E-mail addresses are also stored online in the BLHS Treasurer’s account, which is password protected.
Name, postal address and e-mail address are used to send members the BLHS newsletter; annual membership renewal reminders; AGM notices; notifications relating to the constitution of the society and occasional notifications of events of interest to members (all by post or email). Phone numbers are occasionally used to update members or clarify aspects of their membership of BLHS.
None of this information is shared with any third party.
Payments made to BLHS by members - membership subscriptions, visits/outings cost, purchases and donations: amount, form of payment (bank transfer, cheque or cash), date banked or retained as cash (by BLHS) and purpose of payment. Via forms (paper and digital) which members complete themselves and send to the BLHS Treasurer (by post or in person). a) Digitally in the BLHS Treasurer’s Excel account which is held on the personal laptop of the BLHS Treasurer.  Access to this laptop is password protected and the spreadsheet is not accessible in any other way.
b) Data received by post (including bank statements) is stored in a manual filing system held in the home of the BLHS Treasurer.
Amount, form of payment, date banked or retained as cash and purpose of payment are used to compile BLHS’s financial accounts.
None of this information is shared with any third party.
